Senior Order Management Specialist with German
We’re looking for a Senior Order Management Specialist with German to join our Client’s Customer Operations team.
In this role, you’ll be responsible for managing the end-to-end order process for customers in the European market. You’ll work closely with customers, Sales, Customer Service team and external logistics providers to ensure smooth order execution, accurate data and timely resolution of operational issues.
This position requires a high level of independence and ownership. You’ll also have the opportunity to support process improvements and the ongoing transition of processes to the Warsaw team.
Responsibilities:
- Manage the end-to-end customer order process, including order entry, validation, amendments and fulfilment.
- Lead new customer onboarding, including setting up customer profiles and completing required documentation.
- Manage customer-specific product listing requirements and ensure ongoing data accuracy.
- Understand and apply customer order fulfilment guidelines and support the Customer Service team in following these requirements.
- Coordinate order execution and ensure orders are processed accurately and in line with customer requirements.
- Work with Sales and customers to understand replenishment schedules and allocate stock accordingly.
- Cooperate with 3PL providers and customers to resolve routing, delivery and fulfilment issues.
- Coordinate additional logistics services, such as co-packing, display assembly, palletising and stickering.
- Ensure compliance with customer- and country-specific invoicing requirements.
- Monitor order payment status and support accounts receivable reconciliation and customer billing dispute resolution.
- Proactively identify operational issues and coordinate their resolution with internal teams and external partners.
- Support continuous improvement initiatives and help improve 3PL and customer operations.
- Respond to customer and internal queries and provide broader administrative and operational support to the team.
Qualifications:
- Minimum C1 level of German.
- Minimum B2+ level of English.
- Polish is welcome but not required if the candidate has a strong overall profile.
- Previous experience in Order Management, order processing or a similar B2B operational environment.
- Good understanding of order processing, customer requirements, logistics coordination and cross-functional cooperation.
- Experience with transition projects will be an advantage, as our Client is currently transferring processes to the Warsaw team.
- Strong problem-solving and organisational skills.
- Ability to work independently and take ownership of processes.
- Excellent attention to detail and ability to manage multiple priorities in a dynamic environment.
- Strong communication and stakeholder management skills.
- Experience in FMCG or working directly with major retailers will be an advantage.
