Payroll Specialist (EMEA)

For our client currently we are looking for candidates for the position of:

EMEA PAYROLL SPECIALIST

We are particularly interested in candidates based in Gdańsk or the Tricity area. However, applications from other locations in Poland are also welcome, provided that the person is comfortable visiting the Gdańsk office occasionally.

Your responsibilities:

  • Coordinate monthly payroll activities across several European countries.
  • Collect, verify and submit payroll inputs to external payroll providers.
  • Review payroll reports and confirm that all submitted changes have been processed correctly.
  • Validate salary-related elements, including sick pay, commissions, bonuses, one-time payments and deductions.
  • Work closely with external payroll vendors, regional HR colleagues and internal stakeholders.
  • Monitor payroll timelines and follow up on outstanding information to ensure timely completion of each payroll cycle.
  • Investigate discrepancies and coordinate corrections with the relevant payroll provider.
  • Maintain accurate payroll documentation and employee records.
  • Respond to employee payroll queries in a clear, timely and professional manner.
  • Support payroll reconciliations in cooperation with Finance.
  • Contribute to payroll process improvements and payroll system integration initiatives.
  • Handle sensitive employee information with the appropriate level of accuracy and confidentiality.

What we are looking for:

  • At least three years of professional experience in payroll.
  • Experience supporting payroll processes across multiple countries or working in an international payroll environment.
  • Practical experience cooperating with external payroll providers.
  • A strong understanding of payroll processes and the ability to review payroll reports with a high level of accuracy.
  • Very good command of English, enabling confident communication with international stakeholders and vendors.
  • Good Excel skills and experience working with payroll or HR systems.
  • Strong attention to detail and the ability to manage several monthly payroll cycles simultaneously.
  • A proactive approach to resolving discrepancies and following up with multiple stakeholders.
  • Good organisational and communication skills.
